CHALLENGE
A gym equipment manufacturer required a comprehensive stock audit across all UK storage locations to improve inventory accuracy. As a company that prides itself on delivering premium fitness solutions, maintaining an optimised spare parts inventory was crucial for minimising equipment downtime and ensuring swift repairs. However, previous stocktakes relied on manual validation using laptops and lists of part numbers, making the process inefficient and time-consuming. Additionally, there was an identified need for third-party audits of storage locations to enhance stock accuracy and operational efficiency.

WHY RGIS?
The gym equipment manufacturer selected RGIS due to its expertise in inventory accuracy and technological solutions. RGIS proposed using RGIS Vision, a solution that enabled the efficient scanning of all stock, generating variance reports that would allow the customer to investigate discrepancies and reset stock files across all locations.
OUR SOLUTION
RGIS provided a structured and technology-driven solution, including:
- RGIS Vision Technology Implementation: Each part had a unique code, which was referenced against a product file to ensure accuracy. The use of RGIS Vision streamlined the process, significantly reducing manual data entry errors.
- Test Scans for Validation: RGIS conducted initial test scans on a local site’s stock file to assess RGIS Vision’s accuracy in recognising part codes. The results were highly successful, and the customer observed significant time savings compared to their previous method.
- Efficient Team Deployment: A total of eight Area Managers and 40 ASETs were assigned to complete the stocktake across multiple storage locations.
- Optimised Workflows: The scanning process covered over 130,000 pieces of inventory, with a focus on identifying stock discrepancies and resetting inventory files.
RESULTS
- Increased Efficiency: Across most sites, the scanning solution significantly improved efficiency, with two sites completed in half the time previously required.
- Reduced Labour Hours: The projected labour hours for the stocktake, based on the gym equipment manufacturer’s previous manual process, were 360 hours. However, RGIS completed the task in just 275 hours, delivering a 24.6% reduction in working hours.
- Improved Stock Accuracy: The reset of stock files across all UK storage locations improved inventory accuracy, supporting the customer’s maintenance operations and ensuring better spare parts availability.
CONCLUSION
The gym equipment manufacturer was highly satisfied with the service provided by RGIS and has already booked inventory counts for this year. Moving forward, RGIS and the customer will focus on further improving product labelling and ensuring highly trained RGIS staff are present at all counts to maximise efficiency. The successful completion of this project has strengthened the partnership between the customer and RGIS, paving the way for continued collaboration in future inventory management initiatives.
